Meetings are vital, but here follow-ups usually fail. Despite having the best intentions, most teams leave recurring meetings with unclear action, vague objectives, or the annoying feeling they’ve had the same discussion before. The outcome is none other than wasted time, misalignment, not being on the same page, and certainly missed opportunities.
To solve this issue once and for all, we ran an experiment with our partners at AWS. Our mission was to validate what’s worth doing for humans in the age of automation. Can Artificial Intelligence outdo humans when it comes to creating high-impact follow-up meetings? The results are interesting.
We designed an unbiased validation test to measure effectiveness, creating four variants of follow-up agendas based on a real-life recording of a cross-functional leadership meeting. Each version was assigned the same objective: Plan a meaningful, high impact follow-up meeting with agenda and outcome. The four variations were generated using multiple methods, such as:
After this, we asked AWS employees, CEOs, and senior leaders to rank the results anonymously based on actionability, clarity, and ability to fuel progress, and the results were jaw-dropping.
When it came to key metrics—like clarity of objectives, alignment of action items, and driving real progress—V3, powered by Kairos AI with meeting notes, came out on top. But the real game-changer was;
It took under 60 seconds to generate the results of the experiment, which otherwise would have taken hours.
The tool outdid human performance, which spent 3 minutes and 40 seconds creating an agenda.
The same occurred with the collaboration between human + ChatGPT. On their own, human experts took significantly longer to produce results, and even when paired with ChatGPT, this combination was rated among the least effective, taking the longest time out of others.
The findings reveal that physically creating an agenda may no longer be the most efficient use of your time and energy, as the same can be generated under 60 seconds via Kairos AI.
The key lies in the ways Kairos Follow-Ups work, providing meeting follow-up best practices in the following ways:
One of the prominent reasons Kairos is distinct from other AI tools is that it can provide you with automatically generated summaries from the meetings you just finished on Teams. It pulls out a transcript from the discussion and gives you a precise and accurate summary.
Instead of losing track of what you had discussed in the previous meeting, Kairos has a context-aware follow-up planning, which allows you to pick the relevant summaries to generate an agenda for the next meeting, being laser-focused and matched with prior results.
Apart from letting you track the progress of ongoing projects, the tool opens the ground for sharing progress in meeting summaries with stakeholders, even those who missed attending the conference. Keeping all concerned parties aware and updated of events happening.
Therefore, with Kairos AI, follow-ups aren’t only faster - they are smarter, unlike traditional tools that demanded more time and energy.
We are breaking down the impact it will have on your business in numbers:
Kairos AI pays for itself in just two meetings. For instance, at $20/month per user vs. $200/hr for an executive’s time.
Every meeting you plan with Kairos saves at least 3 minutes per agenda. Therefore, another reason to count on it for impactful meetings.
With Kairos, you can always expect better follow-ups, which translates to higher team alignment, decreased meeting exhaustion as things go fast, and naturally quicker decision-making.
And this is where human vs AI productivity proves to be a crucial tool if you want the clearest results, as AI takes the crown in speed and quality, too, that your human experts can never deliver.
We also came across a surprising finding. We thought that combining human expertise with ChatGPT would lead to strong results, but in our research, this combo usually landed in third or fourth place across all categories.
Why?
For this particular case, using the 'human-in-the-middle' approach for meeting follow-up best practices actually slowed things down without adding much value.
The VI1: Kairos AI with no transcript outperformed human methods in several categories. Therefore, even without any context, the tool delivers impressive results, generating a well-structured and highly relevant agenda in just 23 seconds.
That’s the power of verticalized AI: it knows what a good and productive meeting looks like, even without human input.
Here are the final human vs AI productivity rankings, from best to worst:
The top choice delivered the best outcomes and required the least time.
Our conducted study on human vs AI productivity clearly shows that Kairos AI with meeting notes is the champion. You no longer need to invest minutes and hours to create the perfect agenda. Hand over the heavy part to AI and enjoy a better, faster, and more reliable outcome.
